How Much Does Custom Software Cost? What Drives the Price

By Dishant Chanchad · · 2 min read

Quotes for the same idea can differ a lot. Here is what actually drives the cost of custom software, how good estimates are built, and how to keep your budget under control.

Why there is no single price

"How much does an app cost?" is like asking how much a building costs. The answer depends on what you're building, how much of it you need on day one, and the quality you expect. Two honest quotes for "the same idea" often differ because the vendors have imagined different products.

The useful question is: what drives the cost, and how do I control it?

What drives the cost

  • Scope. The number of screens is a poor guide. The number of user roles, workflows and business rules is a better one.
  • Platforms. A web app, an iOS app and an Android app are three surfaces to design, build and test, even when they share code.
  • Integrations. Payments, CRMs, ERPs, maps and messaging each add work, especially when the other system is poorly documented.
  • Design depth. A clean, standard interface costs less than a highly custom, animated one.
  • Data and migration. Importing and cleaning data from old systems is often underestimated.
  • Non-functional requirements. Security, performance, accessibility and compliance needs add design, build and testing time.
  • Team composition. Senior engineers cost more per hour but often less per working feature. Compare total cost and risk, not just hourly rates.
  • After launch. Hosting, monitoring, support and improvements are ongoing costs.

How a good estimate is built

  1. A short discovery to understand users, workflows and constraints.
  2. A feature list broken into small, describable pieces.
  3. An estimate per feature, with assumptions written down.
  4. A range, not a single number, for anything still uncertain.

If an estimate doesn't show its breakdown and assumptions, you can't compare it with another one, or see what you could leave out.

How to control the budget

  • Define the first release narrowly. Build the smallest version that delivers real value, then let real use decide what comes next.
  • Prioritise explicitly: must-have, should-have, later.
  • Prefer proven components such as authentication, payments and admin frameworks over building them from scratch.
  • Ask for working software every sprint, so you can change direction early instead of late.
  • Own your code and accounts so you're never locked into one vendor.

What about costs in India?

Development teams in India are often chosen for the balance of cost and engineering quality, but rates vary widely with seniority, specialism and how work is managed. Focus on the same questions you'd ask anywhere: who will build it, how progress is shown, and how quality is checked.

Conclusion

The cost of custom software is the sum of decisions you can see and influence. Ask for a feature-level estimate with clear assumptions, start with a focused first release, and keep visibility through regular demos. Our FAQ on cost explains how we estimate, and you can tell us about your project for a written breakdown.
